Use IMAP on every device and map sent, drafts, junk and deleted mail to server-side folders.

Set up synchronisation

  1. Confirm webmail shows the current server-side folders and messages.
  2. Configure each device as IMAP using port 993 with SSL/TLS.
  3. Use authenticated SMTP on port 587 with STARTTLS.
  4. In each application, choose the server-side Sent, Drafts, Junk and Trash folders where folder mapping is offered.
  5. Send, read and delete a test message on one device.
  6. Confirm the same state appears in webmail and on the other device.

Avoid data loss

  • Do not mix POP and IMAP unless you understand which device may remove the server copy.
  • Export local-only folders before deleting an old account profile.
  • Allow large folders time to synchronise before making further changes.
  • Monitor mailbox and hosting-plan storage.
