How account credit is applied to invoices Print

Account credit reduces eligible invoice balances but is not cash held in a bank account and may be subject to the reason it was issued.

Applies to: Billing, payments and invoices

WHMCS records invoices, payments, credits and tax information against the customer account. A catalogue price change does not rewrite an existing invoice, and a service status does not always change at the same moment as an invoice status.

Key information

Available creditThe unused credit balance shown on the customer account.
Applied creditCredit already allocated to a specific invoice and no longer available for another invoice.
Credit noteAn accounting record that reduces or reverses a billed amount; it is not always an immediately withdrawable balance.

Before you start

  • Sign in to the Customer Portal using the account owner or an authorised user.
  • Have the relevant invoice, service, domain or ticket number available.

How to use this service

  1. Open the invoice and check whether available credit has already been applied automatically.
  2. Where the portal offers an Apply Credit action, choose the amount without exceeding either the invoice balance or available account credit.
  3. Pay any remaining balance using a supported payment method.
  4. Check that the invoice balance becomes zero and the status changes appropriately after the credit and payment are recorded.
  5. For a credit created by cancellation, refund or adjustment, read the associated ticket or credit note to understand any restrictions.

Confirm the result

  • The account credit balance and invoice transaction history show the same applied amount.

Common problems

SymptomLikely causeWhat to do
Credit is visible but cannot be applied. The invoice currency, status, ownership or configuration may not permit the action.Open a billing ticket with the invoice number rather than creating a manual payment workaround.
The service has not renewed after credit was applied. The credit did not cover the full invoice or provisioning is still pending.Confirm a zero invoice balance and Paid status, then check the service status.

When to contact Tudor Internet

Open a ticket through the Customer Portal when the checks above do not resolve the issue, when an action is unavailable for your service, or when continuing could risk data loss or service interruption. Include the following so the request can be investigated efficiently:

  • The customer account email address
  • The affected invoice, service, domain or ticket number
  • The exact message and the time it appeared
Do not send passwords, private keys, full payment-card details, one-time authentication codes or unredacted identity documents in an ordinary support reply.
